OVERVIEW OF THE FUNCTIONS OF THE POST

Under the overall authority of the CFO, and the direct supervision of Associate Finance Officer (MDU), the incumbent of the post provides services in compliance with the policies and the financial rules of the organization in the management of the Organization's financial Data in FABS. The incumbent will be responsible for the review and validation of Master Data elements relating to external and internal vendors, customers, GL account management and bank master data management. He/She in particular will:

Long Description

  • Analyze and carefully review based on established criteria requests before approving for creation, modifications of Vendors, Customers and GLs accounts including checking against the sanctions list and escalate unusual matters to the Associate Finance Officer.
  • Review documentation and requests for Permitted Payee and prepare a recommendation for review by the Associate Finance Officer before submission to Chief, BFM/FAS.
  • Assist in periodic review, acuity annual review and analysis of the database for accuracy and identify and correct inconsistencies.
  • Assist in providing technical assistance on system improvements by identifying weaknesses and suggesting improvements.
  • Manage the upload of bank database and maintain the correct link between Business Partner's bank and the bank master data for correct use in the automatic payment program.
  • Submit quarterly reports on issues related to vendors, customers, banks and upload in the ERP system including the Operational UN Exchange Rates.
  • Participate in the drafting and regular updating of user manuals covering procedures for Master Data Management.

Education

  • Completed secondary, technical and/or vocational education.

Work experience

  • Minimum of 5 years of relevant work experience in finance/accounting.

Skills and competencies

  • Good knowledge of ERP Systems such as SAP and Winshuttle.
  • Excellent analytical and communication skills.
  • Tact and discretion.
  • Excellent IT skills (Excel, Word, Outlook, SWIFT portal,etc.).

Languages:

  • Excellent knowledge of English or French and good knowledge of the other language.

DESIRABLE QUALIFICATIONS

Education

  • Specialised training in related areas relevant to the post.

Work Experience

  • Experience in similar functions within the UN system or an international organization/institution.
  • Familiarity with the work and the administrative functioning of international organization and/or the UN system.

Skills and competencies

  • Knowledge of UNESCO’s rules and regulations, policies and procedures.

Languages

  • Knowledge of another official language of UNESCO (Arabic, Chinese, Russian, Spanish).
