SPECIFIC DUTIES AND RESPONSIBILTIES The post holder will be responsible for:
Advising on systems
Advising the Group Finance Director, Group Financial Controller and others, about the viability of systems new systems and related financial processes, that will need to be considered to ensure that the finance department is able to meet the organisation's existing and future requirements.
Upgrade and project management of finance systems
In particular:
* Developing and submitting business case proposals for the introduction of new/upgraded systems
* Streamlining processes in the new system and the chart of accounts
* Development of the Group's computerised financial systems
* Implementation of possible new upgrade to the latest version of SUN (or Exchequer) within the Finance Department including considering, advising and potentially implementing the following:
* Working with the Group Financial Controller to develop and implement monthly management account reporting so that such reports can be system generated
* Enable electronic invoices
* Introduce a scanning facility for invoices which can be linked to purchasing software and SUN (or Exchequer)
* Electronic payments processes (enhancing ) including secure electronic authorisations processes and generating electronic remittances to suppliers
* Installing a budgeting system
* Install an MI system so that all departments can see their accounts in real time
* Install Purchase Order processing (POP) system including electronic stock control
* Utilise SUN/Vision (or Exchequer) for forecasting purposes
* Working with the Group Financial Controller to ensure that new system controls work congruently with internal financial regulations, procedures and controls
Internal and external representation
In particular:
* Managing, together with the Information, Communications & Technology (ICT) department, external consultants and contractors
* Attendance at relevant in-house Committees as required
Reports and Information
The post holder will need to be able to respond quickly and effectively to requests for financial information/ reports from the finance department team and budget holders.
Training
Responsible for
* Training finance staff on any new systems, and
* Running in-house courses to train budget holders on new finance systems and procedures
Additional support across the Finance Department
The Finance Department is a busy integral part of the organisation's business. It is important that the post holder is willing:
* To assist in all areas of the Finance Department when needed
* Cover, as necessary, for the team during busy times e.g. year-end and during the budget setting round
* To undertake any ad hoc projects as directed by the Group Financial Controller
Experience and Knowledge
Essential
* Excellent systems knowledge
* Understanding of financial accounting processes and procedures
* Extensive experience of Exchequer
* Experience of migrating from old accounts system to new
* Experience of writing finance reports eg management accounts
* Experience of updating a chart of accounts
* Experience of using integrated databases e.g. HR, purchasing and payroll systems
* Advanced knowledge of Excel and other Microsoft office software
Desirable
* Working in the not-for-profit sector
* Experience of working within a Finance Department that is undergoing a major finance system change
* Experience of SUN Accounts (possible new accounting system)
